Refund Policy

At Lone Star Events & Hall, LLC (Lone Star on Elm), all reservations, retainers, and payments are made to secure event dates, staffing, and venue resources.


This Refund Policy applies to all bookings made through our website, by phone, email, or in person.

1. Non-Refundable Retainer

A non-refundable retainer is required to reserve your event date.


This retainer:


• Locks in your date
• Covers administrative planning and scheduling
• Is non-refundable under all circumstances

No date is held until the retainer is paid.

2. Payments & Refund Eligibility

All payments made after the retainer follow the terms listed in your signed event contract.

As a general rule:

• Payments made within 90 days of the event are non-refundable.

• Payments made before 90 days may be eligible for partial credit, not a refund.

 

Any refund, if applicable, will always follow the written terms of your contract.

3. Cancellation by Client

If the client cancels the event for any reason, including change of plans, weather, scheduling conflicts, or dissatisfaction after the event has occurred:

Retainers, fees, décor purchases, staffing costs, rentals, and used services are not refundable.
 

If the event is canceled far in advance, credits toward a future event may be considered at management discretion, but are not guaranteed.

4. Rescheduling

Reschedule requests are evaluated based on:


• Availability of the new date
• How far in advance the request is made
• Staffing and vendor commitments

Rescheduling fees may apply.


Your original retainer transfers to the new date one time if approved.

Rescheduling within 60 days of the event often requires full payment.

5. No-Shows & Same-Day Cancellations

If the client fails to show up or cancels on the day of the event:

No refunds or credits are issued.

All balances must still be paid.

6. Venue-Initiated Cancellations

If Lone Star Events & Hall must cancel due to emergency conditions (e.g., natural disasters, unsafe venue conditions), clients may receive:

• A full credit toward a future available date, or
• A refund excluding already-used costs such as décor purchases, rentals, or vendor payments.

This does not apply to weather-only changes for outdoor portions of the event.

7. Outside Vendors

Payments made directly to third-party vendors (DJ, photographer, caterer, etc.) follow their individual refund policies.


Lone Star Events & Hall is not responsible for vendor refunds.

8. Damages, Cleaning Fees, or Incident Charges

Any deductions or charges due to damages, excessive cleaning, or violation of venue policies are not refundable.

9. Digital Products & Consulting

If you sell digital downloads, planning sessions, or venue consulting services:

• All digital products are non-refundable
• Completed planning/consulting hours are not refundable

10. How to Request a Refund or Credit

All refund or credit requests must be submitted in writing to:

• Event name
• Event date
• Contract holder name
• Reason for request

We will respond within 3–5 business days.

11. Final Authority

Your signed event contract overrides all website language.


In case of conflict between this page and your contract, the contract controls.
