Refund Policy

At Lone Star Events, LLC, all retainers and payments are made to secure event dates, planning time, staffing coordination, and contracted services.

This Refund Policy applies to all services booked through our website, by phone, email, or written agreement.

1. Non-Refundable Retainer

A non-refundable retainer is required to reserve your event date.

The retainer:

• Secures your date on our calendar
• Covers administrative planning, coordination, and scheduling
• Is non-refundable under all circumstances

No event date is considered reserved until the retainer is received.

2. Payments & Refund Eligibility

All additional payments follow the terms outlined in your signed service agreement.

As a general guideline:

• Payments made within 90 days of the event are non-refundable
• Payments made more than 90 days prior may be eligible for credit toward a future date (not a cash refund), at management discretion

Refund eligibility, if any, will always follow the written terms of your signed agreement.

3. Client Cancellations

If a client cancels an event for any reason—including change of plans, scheduling conflicts, venue changes, weather concerns, or dissatisfaction after services are rendered:

• Retainers are non-refundable
• Planning time already completed is non-refundable
• Vendor coordination and staffing fees are non-refundable once secured
• Custom purchases or ordered materials are non-refundable
• Services already performed are non-refundable

Credits toward a future event may be considered at management discretion but are not guaranteed.

4. Rescheduling

Rescheduling requests are evaluated based on:

• Availability of the requested new date
• Timing of the request
• Existing vendor or staffing commitments

One approved reschedule may allow transfer of the original retainer.

Additional rescheduling fees may apply.

Rescheduling within 60 days of the event may require full payment and may not be eligible for credit.

5. No-Shows & Same-Day Cancellations

If a client cancels on the event day or fails to appear:

• No refunds or credits will be issued
• All contracted balances remain due

6. Event Cancellation Due to Emergency Conditions

If Lone Star Events must cancel services due to emergency conditions beyond our control (such as natural disasters, government orders, or unsafe conditions):

Clients may receive:

• A credit toward a future available date, or
• A partial refund excluding non-recoverable expenses (vendor payments, custom orders, staffing costs, planning time)

Weather changes alone do not qualify as emergency cancellation unless safety is officially restricted.

7. Third-Party Vendors

Payments made directly to third-party vendors (DJ, photographer, caterer, rental company, entertainment providers, etc.) are governed by their individual refund policies.

Lone Star Events, LLC is not responsible for third-party vendor refunds.

8. Damages & Incident Charges

Any additional charges resulting from client-caused damages, policy violations, or required corrective services are non-refundable and will be billed according to the service agreement.

9. Digital Products & Consulting Services

• All digital products are non-refundable
• Completed consulting or planning sessions are non-refundable
• Deposits for scheduled consulting calls are non-refundable

10. Requesting a Credit Review

All credit or refund considerations must be submitted in writing to:

Please include:

• Contract holder name
• Event date
• Description of request
• Reason for cancellation or reschedule

We aim to respond within 3–5 business days.

11. Governing Agreement

Your signed service agreement controls all refund terms.

If there is any conflict between this Refund Policy and your signed contract, the signed contract governs.
